This privacy policy provides information on how House of Being processes your personal data in accordance with Article 13 of the General Data Protection Regulation (GDPR).

2. Processing of personal data

Below you can read which types of data House of Being processes, for what purposes, and on which legal basis.

The data are received directly from you as a client in connection with booking, communication or participation in courses. House of Being does not collect data from third parties.

 

2.1. Booking and completion of sessions, retreats, events and courses, and general communication

The following data are processed:

  • Name

  • Email

  • Phone number

  • Date, time and place of birth (only in connection with Human Design)

  • VAT number (for business clients)

  • Address for invoicing purposes

  • Information you provide yourself during the session, provided that such information does not contain special category data pursuant to GDPR Article 9, unless explicit consent has been given under Article 9(2)(a).

    • Special category data include: racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, and the processing of genetic or biometric data for the purpose of uniquely identifying a natural person, as well as data concerning health or a person’s sex life or sexual orientation.

  • Video recordings of online sessions

Purpose:

To plan, conduct and follow up on sessions, events, retreats and courses, and to communicate with clients before, during and after.

Any video recordings of sessions are made only by agreement with the client and are deleted as described in section 3.2.

Legal Basis:

Performance of a contract under GDPR Article 6(1)(b).

 

2.2. Human Design Charts

When you request a Human Design Chart through the website, the following data are collected:

  • Name

  • Email

  • Date, time and place of birth

  • (Optional) Profession/job title

Purpose:

To generate your personal Human Design chart.

The information is transmitted to bodygraph.com, which on behalf of House of Being prepares the chart.

Legal Basis:

Consent under GDPR Article 6(1)(a).

You may withdraw your consent at any time by contacting House of Being.

Regarding data about third parties:

If you enter data about other persons (e.g. partner, children or colleagues), you are responsible for ensuring that you have obtained their consent.

House of Being will as a rule only process information about yourself and will delete any information deemed to have been provided without valid consent.

 

2.3. Receipt of newsletters and marketing

The following data are processed:

  • Name

  • Email

  • Photos and videos from events, retreats and similar activities

Purpose:

To send news about upcoming services, events, retreats etc. from House of Being, and to use photos, videos and similar materials in the marketing of House of Being.

Legal Basis:

Consent under GDPR Article 6(1)(a) for newsletters. You may withdraw your consent at any time by contacting House of Being.

Legitimate interest under GDPR Article 6(1)(f) for the use of photos and videos for marketing purposes.

Portraits or close-up images where individuals are in focus are only used with consent under Article 6(1)(a).

 

2.4. Payment, invoicing and accounting

The following data are processed:

  • Name

  • Email

  • VAT number (for business clients)

  • Address for invoicing purposes

  • Payment and invoicing information

Purpose:

To process payments, issue invoices and comply with legal obligations under the Danish Bookkeeping Act.

Legal Basis:

Legal obligation under GDPR Article 6(1)(c).

 

2.5. Consent

If House of Being processes your personal data based on your consent (e.g. newsletters, use of photos or recordings), you may withdraw your consent at any time.

Withdrawal applies going forward and does not affect the lawfulness of processing based on consent before its withdrawal.

3. Storage and deletion
3.1. Storage

House of Being retains your personal data for as long as you are a client and receive services.

House of Being has implemented appropriate technical and organisational measures to protect your information and performs ongoing risk assessments of these measures.

We have implemented access control, encryption and regular backups to protect your data against unauthorised access or loss.

 

3.2. Deletion

Client data and notes are deleted 2 years after the last session.

Accounting data are deleted after 5 years in accordance with the Bookkeeping Act.

Zoom recordings are deleted no later than 14 days after the session.

WhatsApp messages are automatically deleted after 7 days.

 

4. Disclosure of personal data

House of Being does not disclose your personal data to third parties for marketing or other purposes without your consent.

However, House of Being may disclose information to public authorities when required by court order, subpoena or statutory obligation.

House of Being uses external service providers and partners to process personal data on our behalf in connection with booking, payment and online sessions.

These service providers act as data processors, and we have entered into written data processing agreements to ensure that your data are processed in accordance with the GDPR.

The data processors are used solely for technical operation, hosting, accounting and technical support.

An agreement has been concluded with each processor individually.

For events and retreats held with external partners, data may be shared based on consent, in the same way as for booking.

Partners will always be listed at the time of booking.

When purchasing a Human Design chart, data are shared with bodygraph.com, which prepares the chart. The data will not be used for other purposes or shared further.

4.1. Transfer to third countries

House of Being uses certain IT and cloud solutions which may involve the transfer of personal data to third countries outside the EU/EEA, including the United States.

This includes services such as Microsoft 365, Google, Calendly, Zoom, WhatsApp.

Transfers are based on the European Commission’s Standard Contractual Clauses (SCCs).

Transfers to third countries only occur where adequate safeguards have been implemented in accordance with GDPR Chapter V.

As supplementary measures, access restrictions, encryption, two-factor authentication and ongoing risk assessments have been established.

 

4.2. Booking via Calendly

When you make a booking, Calendly opens in a new browser tab.

House of Being is the data controller for the information you enter when booking, while Calendly is the data controller for any cookies and technical data processed on their platform.

5. Your Rights

When House of Being processes your personal data, you have a number of rights under GDPR Chapter 3.

You have the right to obtain access to the data that House of Being processes about you.

You have the right to have inaccurate personal data corrected.

Right to restriction of processing

You have the right to restrict the processing of your personal data to the extent possible according to your agreement with House of Being.

Right to object

You have the right to object to the lawful processing of your personal data by House of Being.

Data portability

You have the right to receive your personal data in a structured, commonly used and machine-readable format (data portability).

6. Complaints to the Danish Data Protection Agency

You have the right to lodge a complaint with the Danish Data Protection Agency if you are dissatisfied with our processing of your personal data.

When purchasing digital products, payment is made by card — Mastercard, Visa, American Express, and Maestro are accepted.
